Project Kick-Off and Initial Coordination Activities: A Strong Start to Our European Collaboration
Following the positive results received from the German National Agency and the official signing of the grant agreement, all partner organizations have been formally informed that the project has been approved. With this exciting news, the project officially commenced, marking the beginning of a collaborative journey aimed at meaningful impact across Europe.
Month 1–2: First Steps and Strategic Planning
To ensure a smooth launch, the first online meeting with partner organizations was held via video conference during the initial months of the project. This virtual gathering served as an opportunity for all partners to present their institutions through PowerPoint presentations, complete with organizational logos. These materials laid the foundation for mutual understanding and strengthened the visual identity of the project.
A key outcome of this meeting was the development of a preliminary action plan, outlining tasks for the preparation phase, mobility implementation, and dissemination of results. The division of responsibilities was also discussed to promote clarity and shared ownership among all partners.
Phoenix Conference: Spreading the Word
In parallel, Phoenix organized a dedicated project conference, to introduce the project to a broader audience. Participants had the opportunity to engage with the project’s goals, planned activities, and expected impact, fostering early awareness and community involvement.
Month 2: Second Online Meeting – Preparation and Inclusion
The second online meeting focused on preparing partner organizations for the upcoming phases. Key discussion points included:
- Effective internal and external communication strategies,
- Opportunities for the inclusion of disadvantaged participants,
- Incentives for the use of green transportation to align with sustainability goals.
An intuitive digital environment was presented, designed to facilitate collaboration, interaction, project management, and seamless integration of tasks. During this meeting, partners also shared additional presentation materials and logos for use in dissemination efforts, and the partnership agreement was officially signed.
Preparation for Mobility: Roles, Information, and Risk Planning
Following the online coordination, tasks were distributed among partner organizations to prepare participants for the mobility activities. This involved the creation of an information package, including travel guidance, eco-friendly travel tips, and comprehensive information on green alternatives.
Additionally, partners collaboratively drafted a detailed contingency plan outlining potential participant challenges and actions to take in crisis situations, ensuring preparedness and safety throughout the project.
Participant Selection Process
To ensure a transparent and equitable selection process, partners jointly established selection criteria. An application form was designed, accompanied by a scoring system relevant to the project’s themes. The form included carefully chosen questions that aligned with the project’s objectives, promoting fairness and alignment with the desired participant profile.
